Teamwork

Keep every customer follow-up moving.

Know who is replying, leave the next person a useful note and talk privately with your team. Customer follow-up can survive a change of shift.

  • Take or hand over a conversation
  • Private team chat
  • Shared customer history
GOOD WORK TAKES PEOPLE.You + me.Together.

From enquiry to done

Make the next step clear to everyone.

Switch on conversation assignment for your business. Then use a simple shared routine for enquiries that need attention.

01

Take responsibility

Take the conversation so teammates can see who is handling the reply.

02

Hand over with context

Assign a teammate and leave an internal note about what needs to happen next.

03

Mark it done

Finish the request when the work is complete. A new customer message brings it back for attention.

Team chat

Check with a colleague before you reply.

Ask a question in a direct message or a group, mention the person you need and share a photo or file. Keep the internal discussion separate from what the customer sees.

  • Talk one to one or with a group.
  • Mention a teammate who needs to see the message.
  • Share photos and files to give the discussion context.

Access

Keep the business history with the business.

Choose who can use each location’s number. Teammates with access can read earlier messages and see shared call history before getting back to a customer.

  • Choose which people have phone access.
  • Set which location numbers each person can use.
  • Remove access when a person leaves.

Good questions.

A little more clarity.

Does assigning a conversation stop other people replying?

No. Assignment makes responsibility visible. Other teammates with access can still reply, and message assignment does not change who receives incoming calls.

What happens when we finish a conversation?

Mark the request done to clear it from work that needs attention. A new customer message creates a new request so the team can follow up again.

Can we talk privately within the team?

Yes. In the Phone app, start a direct or group conversation, mention a teammate and share photos or files. Customer and booking cards can be shared from the web or appointment app, with the relevant access.

How many people can use one business number?

The Phone plan includes two people per number. Add up to three more at $29 per person per month, excluding GST. Each person can use a phone, a tablet or both.

What happens when someone leaves?

Remove their access. The business keeps the number and customer conversation history for the remaining team members with access.
